Facility Use Policy

Purpose of Policy

First Baptist Church Pinckneyville exists to fulfill the Great Commission of Jesus Christ. This purpose underlies all the Church’s activities and operations, including the use of its property and facilities, which the Church only possesses through God’s generosity. First Baptist Church Pinckneyville desires to bless, welcome and engage the community in multi-faceted kingdom-building relationships as part of it’s fidelity to this call. Making the facility available presents an opportunity to do so. While First Baptist Church Pinckneyville permits limited use of the facility by non-members, it will not be generally open to the public.

The purpose of this Facility Use Policy is to articulate rules, expectations, and priorities regarding the use of the Facility. This policy will therefore also assist in the evaluation of internal and external requests from prospective users.

Compensation Policy

Most uses of the Facility will be related to the Church’s own internal ministry activities, including availability for groups within the Church. Requests to use the Facility for internal activities must still follow the guidelines in the policy; however, the Church will not require any fee payment or proof of insurance for such uses. Tithing or donor funding already supports these ministries and allays the associated costs of operation.

Fees and Insurance

Use of the Facilities of First Baptist Church Pinckneyville is subject to a refundable security deposit of $250, which may be waived on the sole discretion of the Trustees. The security deposit will be applied to the total of all facility use fees.

Fee Schedule

Sanctuary $200
Fellowship Hall $250
Kitchen $350
Classroom $75
A/V -Sound Technician $25 per hour
Custodial Services $25 per hour

The fees expressed in the Facility Use Agreement (Exhibit A) must be paid directly to the church prior to or on the reserved date. The church employee who renders the agreed upon services will be paid by the Church Treasurer following the event.

Members are exempt from these fees because the maintenance of the facilities is derived from member tithings and offerings. All fees charged are for the express purpose of recovering costs associated with ministering to users by making our Church Facility available and are not for the intent of making a profit. Facility use fees collected, with the exception of those paid to church employees for services rendered, will be credited to the Maintenance line item in the church budget.

For all events not sponsored by First Baptist Church Pinckneyville, the User must obtain liability insurance coverage in the amount of $1,000,000 naming First Baptist Church Pinckneyville as an additional insured. The User must agree to Facility Use and Indemnity and Hold Harmless clause which is included in the Facility Use Agreement.

Reserving the Facility

Any third-party must complete a Facility Use Application Form, available on the church website, and submit it to the church office in person or by mail. If a third-party otherwise reaches out to the Church Office regarding use of the Facility, they should be directed to this Form. The Trustees will review all requests to use the Facility for compliance with this Policy.

Third-Party Groups

Third-Party groups are those individuals or entities other than First Baptist Church Pinckneyville internal ministries who may wish to use the Facility for an event, activity, or program. A third-party organization, which has an active First Baptist Church Pinckneyville member affiliated with said organization, may request to reserve the Church Facility for activities that do not conflict with the biblical views and interpretations of the Church or its stated policies including those stated in this document. The First Baptist Church Pinckneyville member affiliated with said organization will act as Sponsor of the event. The responsibilities of the sponsoring member will be:

• To act as the designated contact person for the event.

• To accept responsibility for ensuring that the event complies with all stated elements of the Facility Use Rules (See Facility Use Rules at the end of this section.)

• To be present for the entirety of the event.

• To secure a representative of the First Baptist Church Pinckneyville Trustees, or an active member who volunteers, to be in attendance throughout the event.

Building use must be approved by the Trustees. Additionally, such organizational activities shall not conflict with church activities as to times, space or custodial service. The custodian will be on the premises throughout the event.

The Trustees will review all requests to use the Facility for compliance with the Facility Use Policy. If approved and the requested reservation date is available on the Church Calendar, the Trustees will provide the prospective user with a Facility Use Agreement. The Facility is not reserved until the prospective user signs and returns the Facility Use Agreement. All communication with the prospective user must make this clear and emphasize the necessity of timely returning of a fully executed Agreement in order to reserve the Facility. The signed Facility Use Agreement must be submitted at least three weeks prior to the date requested. The First Baptist Church Pinckneyville Trustees also retain the right to ask any organization to discontinue use of the Facility, if damage occurs or if there is evidence of disrespect to the Church.

Users (other than First Baptist Church Pinckneyville groups who will do their own set up and clean up) that use the Facility are required to pay the Church for custodial service. (See Compensation Policy)

Once the fully executed Facility Use Agreement is returned and approved, the Trustees will properly populate the Church Facility Calendar with the reservation and confirm the approval and reservation with the prospective user.

First Baptist Church Pinckneyville will not grant use of the Facility to a for-profit enterprise for use in the carrying on of their business activities.

All Third-Party Groups will procure adequate insurance for their proposed activities.

First Baptist Church Pinckneyville will reserve the right with all Third-Party Groups the option to communicate to its participants about the mission of the Church and opportunities to participate in the life of First Baptist Church Pinckneyville.

Checklist for Caring for and Maintaining the Surfaces and Organization of the FBCP Kitchen:

✓ Please wash your hands in the handwashing sink provided for this purpose. The other sinks in the kitchen are for preparing food and cleaning dishes, utensils and kitchen work surfaces.

✓ The quartz countertops are durable, but can be damaged by direct contact with excessive heat or cold. Always use the provided heat mats or other heat resistant materials to protect countertops from damage.

✓ Always use a cutting board when slicing or chopping foods. The quartz countertops can also be damaged by knives or other sharp utensils.

✓ Please make every effort to maintain the organization of the kitchen by replacing utensils and equipment in the cabinet or drawer where they were found. Much thought has gone into the organization of the kitchen to make it a safe and efficient place to work for everyone and your cooperation would be much appreciated.

✓ In an effort to reduce the use of disposable flatware, plates, cups, bowls and drinking glasses, we ask that you use dishware, drinkware and utensils that can be run through the dishwasher and reused. This will eliminate the future need to purchase single use items.

✓ Please be diligent in making sure that the range, oven, and all electrical appliances used for an event are clean and turned off before leaving the kitchen.

✓ Please make every effort to keep all work surfaces clean, debris-free and uncluttered. This will help to ensure a safe, clean and efficient work area for everyone.

✓ Note: After closing the freezer door, your must wait eight seconds before the door can be reopened.
